Website Executive Assistant
About this Job
ABOUT THE ORGANISATION:
First Languages Australia (FLA) is the national peak body dedicated to strengthening all Aboriginal and Torres Strait Islander languages. They connect language communities across the country and empower them with resources, skills, and knowledge, to revive, preserve and speak their languages. The goal is a future where all Indigenous language communities have full control over their languages and can use them according to their preference.
ABOUT THE OPPORTUNITY:
We’re looking for an experienced and highly organised Executive Assistant to provide dedicated support to our Chief Executive Officer (CEO) and play a key role in keeping executive and organisational priorities moving forward.
This is a new position at FLA, created to provide dedicated executive support to our CEO.
This role is more than managing a calendar. You’ll help the CEO stay prepared, focused and across competing priorities, while providing high-level support across executive operations, governance processes and organisational activities. You’ll also build strong relationships across the organisation and with external stakeholders.
You’ll need to be comfortable juggling multiple priorities, managing changing demands and knowing what needs to happen next, even when priorities shift quickly.
If you’re someone who naturally stays two steps ahead, takes ownership and enjoys being the person who makes things run smoothly behind the scenes, we’d love to hear from you.
This is an Identified position: to perform this role, the person must be an Aboriginal and/or Torres Strait Islander person. It is a genuine occupational requirement under section 14 of the Anti-Discrimination Act 1977 (NSW) that applicants identify as Aboriginal and/or Torres Strait Islander.
WHAT YOU’LL DO:
Your responsibilities may include:
- Providing high-level, confidential and proactive executive support to the CEO, managing competing priorities with professionalism, discretion and sound judgement.
- Proactively managing the CEO’s complex calendar, appointments, meetings, travel and commitments, anticipating scheduling conflicts and ensuring executive time is used effectively.
- Preparing the CEO for meetings by coordinating relevant information, briefing materials, papers, key issues, actions and follow-up requirements.
- Juggling multiple priorities and responding confidently when priorities change, ensuring important tasks continue to move forward without things falling through the cracks.
- Coordinating Board, committee and executive meetings, including preparing agendas, collating papers, distributing meeting packs, recording minutes and following up actions.
- Building and maintaining positive relationships with internal and external stakeholders, including government agencies, funding bodies, Aboriginal and Torres Strait Islander organisations and community representatives.
- Identifying opportunities to improve administrative systems, workflows and business processes to support greater efficiency.
- Supporting governance, compliance, organisational planning and strategic initiatives through effective coordination and administration.
- Coordinating travel, events, executive forums and other organisational activities as required.
ABOUT YOU:
You will thrive in our team if you:
- Are highly organised and able to manage complex schedules, competing priorities and changing demands.
- Anticipate what is needed rather than waiting to be asked. You think ahead, identify potential issues and take action early.
- Have excellent written and verbal communication skills and can prepare high-quality professional documentation.
- Are comfortable juggling competing priorities. You can move between tasks, adapt when priorities change and make sound decisions about what needs attention first.
- Maintain a high level of confidentiality and discretion.
- Have strong attention to detail and take pride in maintaining accurate records and delivering high-quality work.
- Are passionate about contributing to an organisation that supports First Nations languages, communities and culture.
- Build strong relationships with a diverse range of stakeholders and communicate with professionalism, respect and cultural awareness.
- Are confident using Microsoft 365 and comfortable learning and using contemporary digital and AI-enabled tools to improve efficiency.
WHY WORK FOR FLA:
- Work from home flexibility – this role is a fully remote position.
- Additional cultural leave benefits to support your connections and community.
- Salary sacrificing opportunities as a registered Not-For-Profit organisation.
- Travel to iconic locations across Australia to support our events.
- Rewarding, purpose-driven work that contributes to cultural strength and First Nations language futures.
- Be part of a tight-knit, supportive team that values collaboration and creativity.
